The rebooking texts for clients due for neurotoxin, word for word

By Steven Von · 2026-10-28 · 4 min read

Neurotoxin wears off on a schedule, but most clinics wait for clients to remember. Three rebooking texts, the timing for each, and what to say when they reply.

Your neurotoxin clients are on a clock. Results fade somewhere around three to four months, the lines come back, and the client either rebooks with you or books whoever shows up first on Instagram that week. Most med spas leave that moment to chance. They wait for the client to remember.

A short rebooking sequence fixes it. Three texts, sent on a schedule, in a voice that sounds like your front desk and not like a coupon. Here they are, word for word.

Why texts beat the reminder email

The automated email that says "It's time for your next appointment" gets opened, ignored and archived. A text from a named person gets read within minutes. It also gets a reply, which matters, because a reply is a conversation and a conversation is a booking.

Rebooking is also the cheapest marketing you will ever do. A new client from paid ads can cost real money to acquire, and the Instagram and Facebook ads guide walks through what those campaigns run. A client who already trusts your injector costs a text message.

The timing

For neurotoxin, start at 10 weeks after the last treatment. That gives the client time to fit you into her calendar before the lines are fully back. If your typical client runs closer to four months between visits, shift everything two weeks later. Your booking software can tell you the real average for your clinic.

  • Text one: 10 weeks after treatment
  • Text two: 12 weeks, only if she has not booked
  • Text three: 15 weeks, only if she still has not booked

Stop after three. Anything more starts to feel like pressure.

Text one, at 10 weeks

"Hi [first name], it's [name] at [clinic]. It's been about 10 weeks since your last visit with [injector], which is usually when clients start planning their next one. [Injector] has openings on [day] and [day] next week. Want me to hold one for you?"

Why it works: it names the injector, which is the relationship she cares about. It offers two specific days instead of "let us know when you're ready." And it ends with a yes or no question.

Text two, at 12 weeks

"Hi [first name], [name] again at [clinic]. Just checking in. [Injector]'s schedule is filling up for the next few weeks, especially Saturdays. If you'd like to get on the books, reply with a day that works and I'll find you a time."

Keep it short. Only mention a full schedule if it is true. Clients notice when "almost booked" is said every month.

Text three, at 15 weeks

"Hi [first name], it's [name] at [clinic]. I don't want to bug you, so this is my last reminder. If you've decided to take a break or something changed, no problem at all. If you'd like to come back in, just reply here and I'll take care of it."

The permission to say no is what makes this one work. People reply to it, including the ones who moved, switched clinics or had a bad experience. Each of those answers is worth knowing.

What to say when they reply

"How much is it again?" "For [area], most clients use around [range] units, which comes to about [price range] at our [price] per unit. [Injector] will confirm at your visit. Want me to book you?"

"Can I come in sooner?" "Of course. The earliest I have with [injector] is [day and time]. Should I grab it?"

"I'm going to wait a bit." "Totally fine. Want me to check back with you in a month, or would you rather reach out when you're ready?"

"I went somewhere else." "Thanks for letting me know. If there's anything we could have done better, I'd really like to hear it. Either way, you're always welcome back."

That last reply sometimes turns up a problem you would never hear about otherwise. Pass it to the owner.

Tie it to your membership if you have one

If you sell a membership, the third text is a natural place for it, once. "A lot of our regulars switched to the [membership name], which includes [benefit] every month. Happy to explain it when you come in." The pricing and memberships guide covers how to structure that offer so it does not cheapen your per-unit price.

When a rebooked client comes in and loves the result, she is the right person to ask for a review. Your returning clients are your happiest ones. Across 53,312 med spa listings the median clinic has 50 reviews and the top 10% have 333 or more, so steady asks from regulars add up. The review guide has the two-week timing that works for neurotoxin.

Set it up once

Most booking systems can send these automatically from a treatment date. If yours cannot, a front desk person working a weekly list of clients at 10, 12 and 15 weeks takes about 20 minutes. Either way, the replies should go to a real person who answers within the hour.

Google Maps now answers questions about your med spa. It answers from your reviews

Clients can ask Google Maps who does injections at your med spa or if consults are free. The answer comes from your reviews and profile. Here is the fix.

Most med spas are closed on Sunday. Sunday night is when clients decide to book

Only a small share of med spas list Sunday hours, but Sunday evening is when many clients plan their week. What to change this week so those bookings land.

The holiday gift card email and the three texts that sell it, word for word

Most med spas sell gift cards in December by accident. The email, three texts and front desk line that sell them on purpose, plus the January follow-up.
